The problem

Revenue rarely leaks where contractors look for it

It leaks in the gap between an inquiry arriving and a job being completed and collected — a process problem, not a marketing problem.

Calls that go unansweredEvenings, weekends, and while every tech is already on a job.
Inquiries that sitA web form or missed call waits while someone else picks up.
Estimates that go quietQuoted work never gets a second conversation.
Databases that go coldPast customers and old leads sitting uncontacted.
The system

Six workflows, installed and managed

Configured to your services, service area, hours, capacity rules and escalation contacts — not a generic bot.

01
New inbound opportunity Answers, prioritises urgency, qualifies, and books against real technician capacity.
02
Missed-call recovery An unanswered call doesn't become a lost job.
03
Unsold-estimate recovery Structured follow-up on quoted work that hasn't been approved.
04
Membership & seasonal Maintenance agreements and seasonal demand worked on a schedule.
05
Financing reminders Follow-up where financing is part of the replacement decision.
06
Review requests Requested after completed work, never incentivised.

How emergencies are handled

The system does not diagnose an emergency and never tells a caller a condition is safe. When a caller reports fire, smoke, a suspected gas leak, a carbon-monoxide alarm, electrical arcing, or any immediate threat to life, it:

  1. Instructs the caller to move to safety.
  2. Directs them to 911, the fire department, or the applicable utility emergency line.
  3. Notifies your approved emergency contact.
  4. Stops ordinary qualification until safety is addressed.

Every client approves its own emergency matrix in writing before launch.

Fit

This works for some contractors and not others

The scorecard will tell you plainly which one you are.

Usually a fit

  • Residential HVAC, roughly $1M–$5M annually
  • Around 5–20 technicians
  • At least 75 qualified inbound opportunities a month
  • Receives after-hours inquiries
  • Offers repairs and replacements, and usually financing
  • Has capacity to take more appointments
  • Will share baseline and outcome data
  • Has a human emergency escalation contact

Usually not a fit

  • Under $500,000 in annual revenue
  • No available technician capacity, or already booked out too far
  • No way to track booked and completed jobs
  • Unwilling to provide baseline data
  • Wants an unlimited answering service at a starter price
  • Wants guaranteed sales
  • Wants mass outreach to purchased or unverified lists
  • Declines the required compliance controls
Getting live

How installation works

Scorecard and callScored result, then a Revenue Recovery Call to review the assumptions.
Access and compliance intakeAccounts, owners, approved data sources, consent, suppression, recording decision.
Sender registrationSubmitted and tracked separately. Timing depends on carriers, not on us.
Business intake and buildServices, area, hours, pricing rules, calendars, escalation and safety matrix.
QA and your written acceptanceIntegration and conversation testing. Nothing launches without your sign-off.
Launch and hypercareVoice first, then SMS. Daily review for five business days, then optimisation.
Target configuration and voice readiness is generally 10–15 business days after complete intake and access. SMS launch depends on sender registration or verification and may take longer. No launch date is guaranteed before dependencies are verified. Client participation commonly requires two to four hours across intake, testing, approvals and training.
